Rental car cost formula

Base rental = Daily rental rate × Rental days

Insurance = Insurance per day × Rental days

Parking = Parking per day × Rental days

Total rental cost = Base rental + Taxes & fees + Insurance + Fuel + Parking + Tolls + Other costs

Effective cost per day = Total rental cost ÷ Rental days

Extra-cost share = Extra costs ÷ Total rental cost × 100

Taxes & mandatory fees, fuel, tolls, and other costs are entered as whole-rental amounts. Insurance and parking are daily amounts. The calculator does not infer local taxes or rental-company fees automatically.

What should I enter for taxes and fees?

Enter the total taxes and mandatory fees shown for the whole rental quote. Do not multiply this amount by the number of days, and do not enter the same charge again under Other costs.

Where do airport, young-driver, additional-driver, or one-way fees go?

If these charges are known, enter mandatory quote fees, including airport facility or concession charges, in Taxes & mandatory fees. Put other known non-refundable charges in Other costs. Enter each charge only once; the calculator does not look up or calculate these fees for you.

How is rental car insurance calculated?

Enter the optional insurance or protection cost per day. The calculator multiplies that amount by the rental days. If you are not buying additional coverage, leave the field blank or enter zero.

Does the calculator estimate fuel automatically?

No. Enter your estimated fuel cost for the whole rental. This keeps the rental calculation independent of live fuel prices, mileage assumptions, and vehicle-specific fuel economy.

How is parking handled?

Parking is entered as an average daily amount and multiplied by the number of rental days. If parking varies by day, use a reasonable daily average for planning.

What does effective cost per day mean?

It is the estimated total rental cost divided by the number of rental days. It shows an all-in daily average after the extra costs you entered are included.

What does extra-cost percentage mean?

It is the share of the estimated total cost that comes from taxes, insurance, fuel, parking, tolls, and other costs rather than the base vehicle rental rate. It is not a tax rate or markup rate.

Should I include a refundable deposit or credit-card hold?

No. Refundable security deposits and temporary authorization holds are not expected final spending, so they should not be included in the estimated rental cost.

Does switching between US and Canada convert currency?
