Food = Food/person/day × Travelers × Days

Activities = Activities/person × Travelers

Local transport = Daily group amount × Days

Subtotal = Transportation + Lodging + Food + Activities + Local transport + Other costs

Taxes & fees = Subtotal × Rate

Contingency = (Subtotal + Taxes & fees) × Rate

Total budget = Subtotal + Taxes & fees + Contingency

Budget per person = Total budget ÷ Travelers

Budget per person per day = Total budget ÷ (Travelers × Days)

For 2 travelers taking a 6-day, 5-night trip, assume $800.00 transportation, $180.00 lodging per night, $60.00 food per person per day, $150.00 activities per person, $40.00 local transport per day, and $100.00 in other costs. With 5% taxes and fees and 10% contingency:

What should I include in a travel budget?

A practical travel budget can include primary transportation, lodging, food, activities, local transportation, other fixed costs, estimated taxes and fees, and a contingency allowance for unexpected expenses.

Is lodging entered per person or per room?

Enter the total lodging cost per night for the whole group or the room combination you need. Do not enter a per-person lodging rate unless that is actually how your accommodation is priced.

Why are trip days and lodging nights separate?

Lodging uses nights, while food and local transportation use trip days. Nights may be zero and do not have to equal days minus one, but they cannot exceed the number of trip days.

How is the food budget calculated?

Food is entered per person per day. The calculator multiplies that amount by the number of travelers and the number of trip days.

How are activity costs calculated?

Activities are entered per person for the entire trip. The calculator multiplies the entered amount by the number of travelers, but not by the number of days.

How is local transportation calculated?

Local transportation is entered as a whole-group daily budget. It is multiplied by the number of trip days, not by the number of travelers.

How are taxes, fees, and contingency applied?

Estimated taxes and fees are applied to the trip subtotal first. Contingency is then applied to the subtotal after those taxes and fees, so the two percentages are sequential rather than simply added together.

Does switching between US and Canada convert currency?

No. US mode displays USD and Canada mode displays CAD. Switching regions clears the current inputs and does not perform an exchange-rate conversion.

Does this calculator use live flight, hotel, or destination prices?

No. This is a planning calculator based on the amounts you enter. It does not query live airfare, hotel prices, destination databases, taxes, or exchange rates.
